Events: automatic celebration Flarees

Events send a Flaree on their own, on the day that matters. Set them up once and Flaree handles birthdays and work anniversaries from then on, without anyone having to remember.

There are three, and each is configured separately.

Only the month and day are compared, so an event repeats every year.

Birthday and work anniversary celebrations are part of the Advance plan.

Before you start

Two things have to be in place.

A card for the event. Each event sends a specific card, and you cannot turn an event on until you have picked one. Use the card button on the event row to build one.

The dates. Flaree can only celebrate a date it knows about:

  • Company birthday: Settings → Company → Details

  • Member birthdays and start dates: on each person's profile

Anyone without the relevant date set is skipped at send time without an error or a log entry. The settings form reminds you to fill these in, but nothing checks the team list for you, so it is worth reviewing it before switching an event on for the first time.

Setting an event up

Go to Settings → Company → Events. You will see the three events, each showing its points, time, card and whether it is on.

  1. Add a card. Click the card icon on the event row. The card creator opens with the event already selected; design it and save. Until this is done the settings button stays greyed out.

  2. Open the settings with the gear icon.

  3. Set the points. How many points each recipient receives, from 0 to 10,000. Zero is allowed and means the card is sent on its own.

  4. Set the time. The hour and minute the event fires, in your company's timezone. Minutes must be 00, 15, 30 or 45, which is what the picker offers.

  5. Turn it on with the toggle, and save.

Defaults, if you change nothing: Company Birthday 09:00, Employee Birthday 10:00, Work Anniversary 11:00, all with 0 points and all switched off.

Timezone

Events fire in the company's timezone, not yours. It is set in Settings → Company → Details and defaults to Europe/Paris. If your company sits elsewhere, set it before relying on the timing.

Give each event its own time

Nothing stops you saving two events at the same hour and minute, but if they collide, the messages arrive together and read as one. Leave at least 15 minutes between them.

What the recipient gets

The card, added to their collection like any other Flaree.

The points, if you set an amount above zero. They count toward the leaderboard exactly like points from a colleague.

An email, with the card, the points and, for a work anniversary, the number of years.

A message in Slack, if your workspace is connected. One message per event, in the company channel, naming everyone being celebrated rather than one message per person. Slack is optional; without it the cards, points and emails still go out.

The sender is the Flaree Assistant, so it is clear the Flaree came from the company rather than from a colleague who happened to remember.

Event Flarees do not earn anyone a badge. Badges reward the person who sends, and these are sent by the Flaree Assistant. The points still count toward the leaderboard, so a birthday can visibly move someone's position for that period.

Good to know

Once a year, per person. If an event has already fired for someone this calendar year, it will not fire again. Turning a setting off and on does not re-send it.

Turning an event off stops it immediately. Nothing is queued in advance.

Points are not taken from any budget. They are created for the occasion, so there is nothing to top up and no cost to enabling an event.

Deactivated and removed people are skipped. People who have been invited but have not yet set up their account are not skipped, so they will receive the Flaree and be named in the Slack message.

If an event did not arrive

Work through these in order:

  1. Is the event switched on? The status dot on the event row is grey when it is off and green when it is on.

  2. Is the date set? Missing dates are the most common cause. Check the person's profile, or the Details tab for the company birthday.

  3. Is the company timezone right? The event fires on the company's clock, so a wrong timezone can move it to a time nobody is watching.

  4. Has it already fired this year? Check the person's activity. An event already sent in the current calendar year will not repeat.

  5. Is the card still attached? If the card was deleted after setup, the event still runs and the points still arrive, but no card is sent.

If an event ran without its card, it still counts as having fired for that person this year. Re-attaching the card later will not deliver the missing one. Send it by hand if it matters.

Events fire on a schedule that runs every 15 minutes, so allow a few minutes past the configured time before treating one as missing.

If everything above checks out and the Flaree still did not arrive, contact support with the company name, the event and the date it should have fired.
