Managing your organization
Managing your organization
Everything about your company lives under Settings → Company: its profile, the people in it, and how they are grouped. This page covers the Details, Members and Departments tabs.
Managing the company needs user management rights. Owners and administrators have them; other roles see the Details tab only, or nothing at all.
Details: your company profile
Each field is edited on its own. Click the pencil next to it, make the change, confirm with the tick.

Three fields do more than they look
These are not decoration. Each one switches something on elsewhere in the product.
Description and Website URL power the AI card generator. You need both filled in before the generator will run. With them set, it reads your site and drafts recognition cards in your own language. The Culture Book is optional but makes the results noticeably closer to how your company actually talks.
Timezone decides when everything happens. Badges are awarded at 09:00 in this timezone, the Friday nudge and weekly report fire on this clock, celebration events use it, and the daily sending limit resets at its midnight. Set it before you rely on any of that. New companies default to Europe/Paris.
Company Birthday feeds the company birthday event. Without a date here, that celebration can never fire, no matter how it is configured. See Events and celebrations.
Members: the people in your company
The Members tab lists everyone, ten per page, showing their name, email, whether they have finished setting up their account, their invitation status and their role.
Inviting someone
Use the + button. You need their email address and a role:
Role | What they can do |
|---|---|
Employee | Send and receive recognition. The default, and the right choice for most people. |
Editor | Everything above, plus creating and editing recognition cards. |
Administrator | Everything above, plus managing people, departments, billing and the Slack integration. |
They receive an email invitation and set their own password. There is no way to invite someone as company owner, and the owner cannot be changed from here.
Invitations use a seat as soon as you send them, not when the person accepts. If you are out of seats you will be told to raise the count first, which is done under Settings → Subscription. Deactivated people also keep their seat.
To bring in a whole Slack workspace at once, use Settings → Integration instead of inviting one by one.
Invitation states
Pending — sent, not yet accepted. Use Resend invitation if it was missed, or Cancel invitation to withdraw it and free the seat.
Expired — the link timed out. Resend to issue a fresh one.
Approved — the account is set up and active.
Changing what someone can do
Click a person to open their profile. From there you can set their birthday and work anniversary, which are the dates the celebration events use, and open Manage access to change their role or fine-tune individual permissions such as whether they can send Flarees.
Change either the role or the individual permissions in one visit, then save. Doing both at once in a single save keeps only the role change.
Deactivating and removing: not the same thing
Deactivate | Delete | |
|---|---|---|
Access | Blocked immediately | Blocked immediately |
Their history | Kept in full | Erased |
Reversible | Yes, reactivate any time | No |
Seat | Still used | Freed |
Deleting a member erases their recognition history. Their points, the Flarees they received and the Flarees they sent to other people all go with them, so past leaderboards change. Deactivate instead when someone leaves and you want the record kept. Delete is for correcting a mistake, like an address invited twice.
The company owner cannot be deactivated or deleted.
Departments: grouping your team
Departments let people compare fairly within their own group instead of against the whole company.
Creating one
Use Add Department. A name is required and must be unique within your company; the description is optional. There is no limit on how many you create.
Assigning people
Use Manage on the department row. You assign people from the department, not from the member's profile, which is the part most people look for in the wrong place.
The modal lists current members with a Remove button, and below it the people you can add. In a company of more than a hundred people, use the search box rather than scrolling.
Everyone belongs to at most one department. Assigning somebody to a second one moves them, it does not add them to both.
What departments are used for
Leaderboard filtering — narrow any ranking view to one department.
Badge Lovers — same filter on the badge ranking.
The weekly owner report is company-wide and is not split by department.
Deactivating and deleting
Editing a department gives you an Active checkbox. Clearing it removes the department from the leaderboard filter while keeping it and everyone in it, which is the safe option for a group that is dormant.
Deleting is permanent, but it only removes the grouping. Members are not deleted or deactivated: they simply become unassigned and keep all their Flarees, points and badges.
Plans
Department management, department rankings and department filtering are part of the Advance plan.
Common questions
The AI card generator will not start.
Both the company description and the website URL have to be filled in. One alone is not enough.
Badges and reports arrive at odd hours.
Check the timezone in Details. Everything scheduled runs on the company clock, not each person's own.
I cannot invite anyone else.
You are out of seats. Pending invitations and deactivated people each hold one. Raise the seat count under Settings → Subscription, or cancel invitations you no longer need.
Someone left the company. Deactivate or delete?
Deactivate. It blocks access and keeps their recognition history intact. Delete erases it.
Where do I set someone's department?
On the Departments tab, using Manage on the department row. There is no department field on the member's own profile.
Can somebody be in two departments?
No. Assigning them to another one moves them.
I deleted a department by mistake.
Nobody was removed from the company, they are just unassigned. Recreate it and assign them again.
