Roles and permissions
Who can send Flarees, who can build cards, and who can touch billing. This page covers the roles you can assign, how to change someone's role, and how to grant or revoke the ability to send.
The roles
Everyone in your company holds one role. It decides what appears in their navigation and what they are allowed to do.
Role | What they can do |

Editor | Everything an Employee does, plus send Flarees and build the card library: create, edit, archive and delete cards, including Special Flarees. |
Administrator | Everything an Editor does, plus manage people, departments, celebration events, Slack workspace setup, billing, and the Insights dashboard. |
Owner | Everything an Administrator does. One per company, set when the company is created. Cannot be deactivated or removed from inside the app. |
Three roles are selectable. The role dropdown offers Employee, Editor and Administrator. Owner is set when the company is created and can only be changed by the Flaree team, so contact support if ownership needs to move.
Changing someone's role
Go to Settings → Company → Members, click the person, then Manage access in the Access block. Pick the role and save.
The change takes effect immediately. Nobody has to log out and back in.
Change the role and the permission tickboxes in two separate saves. If you change the role and tick a permission box in the same save, only the role change is applied and the tickbox edit is discarded without warning. Save the role first, reopen the dialog, then adjust permissions.
Administrators and Owners can open this dialog. Editors cannot, even though they manage the card library.
Letting someone send Flarees
Sending is controlled by one tickbox in that same dialog, labelled Giver (can give Flarees), under Additional Permissions.
Tick it on an Employee and they can send.
Untick it and they can receive only.
For Editors and Administrators the box is disabled, because both roles can always send. To stop an Administrator from sending, change their role to Employee first.
What a blocked sender sees
Someone without giving rights gets two different experiences depending on where they click, which is worth knowing when you pick up the ticket:
The round send button is still there, and pressing it opens a dialog headed Permission Required, reading "You don't have permission to transfer Flarees. Please contact your company administrator to request this permission."
Elsewhere in the app the send button is simply absent, with no explanation.
Who cannot receive a Flaree
Receiving is not something you switch off. Three account states block it instead:

Frees up a seat | No | Yes |
Deactivating does not free up a seat. A deactivated member still counts against the seats you pay for, and so does an invitation that has been sent but not yet accepted. Remove the person if you need the seat back.
Both actions live on the member's row menu under Settings → Company → Members. If someone still has an unresolved invitation, cancel the invitation rather than removing them.

Billing is not restricted to the Owner. Administrators can see and change invoices, payment cards, seats and the plan.
How far an Administrator can go
An Administrator can promote another member up to Administrator, which is their own level. They cannot create an Owner.
Connecting your own Slack account is a baseline every member keeps. A role change never takes it away.
Plan availability
Roles, permissions and user management are included in Free Forever and every Advance plan. Department management is part of the Advance plan.
Common questions
Someone says they cannot send Flarees.
Their Giver permission is off. Settings → Company → Members, open them, Manage access, tick Giver (can give Flarees).
I changed a role and a tickbox together and the tickbox did not stick.
Expected. A role change overwrites the permission set, so the tickbox edit is dropped. Save the role, reopen the dialog, then set the permission.
I cannot untick Giver for our Administrator.
Administrators and Editors can always send. Change their role to Employee first, then untick it.
Why can I not deactivate the Owner?
The Owner is protected so a company is never left with nobody able to manage members, billing and cards. Contact support to move ownership.
We deactivated people but our seat count did not drop.
Deactivated members and pending invitations both still hold a seat. Remove them to release it.
An Editor cannot open Manage access.
Correct. Editors manage the card library, not people. Role changes need Administrator or Owner.
